What Is a Payroll Hours Calculator?

The essentials of payroll computation.

Payroll basics

A Payroll Hours Calculator works out pay as hours worked × hourly rate, but it first separates regular hours from overtime so that each is paid at the right rate.

In full: Gross Pay = (Regular Hours × Rate) + (OT Hours × Rate × OT Multiplier). A 45-hour week at $22 an hour with time-and-a-half after 40 hours gives (40 × $22) + (5 × $33) = $880 + $165 = $1,045.

Decimal hours for payroll

Payroll runs on decimal hours: 8h 15m is 8.25 hours and 8h 30m is 8.50. Working in decimals removes the risk of converting minutes incorrectly.

Weekly vs bi-weekly payroll

Overtime is normally assessed per week, not per pay period. Even on a bi-weekly schedule, each week is compared with the 40-hour threshold on its own.

Payroll Calculation Examples

Three worked payroll computations.

Standard 40-hour week

40 hours × $22/hr = $880, with no overtime involved.

45-hour week with OT

40 regular hours ($880) plus 5 overtime hours at $33 ($165) gives $1,045 gross.

Part-time 25 hours

25 hours × $18/hr = $450 — well below the overtime threshold.

Payroll Hours Calculator FAQ

Answers to common questions about the Payroll Hours Calculator.

Enter the hourly rate and the hours worked on each day of the week. The calculator adds them up, separates regular hours from overtime, and works out gross pay with the overtime premium applied.

Gross pay is everything earned before deductions such as tax, insurance and pension contributions — regular pay plus any overtime pay. Take-home (net) pay is gross pay minus those deductions.

Hours above the overtime threshold — 40 a week by default — are paid at the overtime rate, usually 1.5 times the normal rate. Gross pay is regular pay plus that overtime pay.

Decimal hours can be multiplied straight by a rate. 8h 30m is 8.50 decimal hours, so at $20 an hour the day is worth 8.50 × $20 = $170.

The calculator covers one 7-day week. For a two-week pay period, run each week on its own and add the results, since overtime is normally assessed week by week rather than per pay period.

No. It stops at gross pay. Tax, social security, insurance and pension deductions depend on your country, state and personal situation, so use your payroll provider or official tax tables for net pay.
